Position Summary
Hamilton ETFs is seeking an experienced, detail-oriented part-time administrator to coordinate payroll, benefits administration, and employee lifecycle processes while handling confidential employee information professionally. This is a new, part-time permanent position, primarily remote with a minimum of two days per month onsite at 121 King Street West in downtown Toronto.
Key Responsibilities
Payroll administration
- Coordinate payroll processing for Ontario and other Canadian jurisdictions.
- Maintain accurate employee records (hires, terminations, salary changes, bonuses, deductions, and leaves).
- Review payroll inputs for accuracy before submission.
- Resolve payroll questions with providers and stakeholders.
- Support compliance activities, including statutory deductions, Records of Employment, and year-end reporting.
- Maintain organized, audit-ready documentation.
Benefits administration
- Coordinate enrollments, changes, and terminations.
- Serve as the employee point-of-contact for benefits.
- Liaise with benefit providers and brokers.
- Support invoice review and reconciliation.
- Administer retirement savings, wellness, and leave programs.
- Coordinate renewals and employee communications.
HRIS, data management, and employee lifecycle
- Coordinate the flow of information between Collage HR and external payroll and benefits providers.
- Maintain accurate employee records across systems.
- Monitor and reconcile data between platforms.
- Support workflow improvements and internal controls.
- Manage onboarding, offboarding, and status changes.
- Track vacation and leaves across systems.
Additional duties
- Support payroll and HR data analysis.
- Participate in compensation benchmarking surveys.
- Generate ad hoc reporting for audits and compliance.
- Handle special projects as assigned.
Qualifications and Requirements
- Post-secondary diploma in payroll, business administration, accounting, or human resources.
- Payroll Compliance Practitioner (PCP) certification in good standing.
- 5+ years of Canadian payroll and benefits administration.
- Experience with systems such as ADP TeamPay, ADP Workforce Now, Dayforce, Collage HR, or Employment Hero.
- Knowledge of payroll practices, employment standards, statutory deductions, and taxable benefits.
- Retirement savings program experience preferred.
- Strong problem-solving, organizational, and time-management skills.
- High attention to detail and discretion with confidential information.
